This policy explains what personal data GTT Logistik Ltd collects about you, why we collect it, how long we keep it and what rights you have. It applies to this website and to enquiries, quotes and services handled by the company.

1. Who we are

GTT Logistik Ltd is the data controller for the personal data described in this policy. We decide what data is collected and how it is used.

2. What data we collect

We collect only what we need in order to respond to you and to deliver the services we have agreed.

Contact-form and enquiry data

Full name, email address, telephone number, the content of your comment or brief, and the fact and time of your consent. These are the fields on our contact form; name, email and phone are required, the comment field is optional.

Correspondence

Emails, call notes and messages exchanged with you about an enquiry, quote or live engagement, including any business details you choose to send us.

Client and billing records

Company name, billing address, named contacts, purchase order references, quotes, invoices and payment status. Where the client is a sole trader, these details may be personal data.

Technical data

Where our website or hosting provider keeps server logs, these may include IP address, browser type, pages requested and timestamps. This data is used for security and for keeping the site available, not for profiling or advertising.

Data we do not collect

We do not ask for special category data (such as health, religion or political opinions), we do not knowingly collect data about children, and we do not collect or store card numbers. Please do not send sensitive personal data through the contact form.

3. Why we process it

We use the data described above for the following purposes, and no others:

  • Answering enquiries received through the contact form, by email or by phone.
  • Preparing, sending and revising written quotes for consultancy, facilities management, support and web portal work.
  • Delivering and administering an agreed engagement, including service communication, scheduling and technical access arrangements.
  • Issuing invoices, taking payment through our payment partners, and keeping accounting records.
  • Keeping our own systems and our clients' environments secure, and investigating incidents.
  • Meeting legal, tax and accounting obligations that apply to a company registered in England and Wales.
  • Handling complaints, disputes, refund requests and any legal claims.

4. Legal basis for processing

We process personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our lawful bases are:

Consent For enquiries submitted through the contact form, where you tick the consent box before sending. You may withdraw consent at any time.
Contract Where processing is necessary to agree or perform a contract with you — quoting, delivering the service, invoicing and supporting it.
Legal obligation For accounting, tax and company-record keeping required of us by law.
Legitimate interests For keeping our systems secure, maintaining business records and defending legal claims, where doing so does not override your rights and freedoms.

5. Payment data

Where a payment is made by card or by a local payment method, that payment is processed by a regulated third-party payment provider. Card numbers, security codes and bank credentials are entered on the provider's systems, not ours.

GTT Logistik Ltd does not collect, see or store full card numbers or security codes. We receive only what we need to reconcile an invoice: the amount, the currency, the date, the payment reference, whether the payment succeeded, and the name of the payer. The payment provider processes your data as controller in its own right under its own privacy notice, and we will name the provider on the invoice or checkout page so you can read that notice.

Retention periods run from the end of our last contact with you or the end of the relevant financial year. Records kept for six years reflect the limitation periods and accounting requirements that apply in England and Wales. When a period ends, data is deleted or anonymised.

7. Security

We take appropriate technical and organisational measures to protect personal data. These include encryption of the website in transit (HTTPS), access controls and multi-factor authentication on the accounts that hold client data, restricting access to those who need it for their work, keeping systems patched, and using reputable providers for email, hosting and payments.

No method of transmission or storage is completely secure. If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours of becoming aware of it and will tell you where we are required to do so.

8. Who we share it with

We do not sell personal data and we do not share it for advertising. We share it only with the following categories of recipient, and only as far as necessary:

  • Payment providers — to take and reconcile payment for our invoices.
  • IT suppliers — website hosting, email and business software providers who process data on our instructions under written terms.
  • Subcontractors — specialist engineers or developers engaged on a specific piece of work, bound by confidentiality and data protection obligations.
  • Professional advisers — accountants, insurers and legal advisers where needed.
  • Authorities — where we are required to disclose data by law or by a court order.

Where a supplier acts as our processor, we put a written contract in place requiring them to process the data only on our instructions and to keep it secure.

9. International transfers

Some of our suppliers are based outside the United Kingdom. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with any additional safeguards the transfer requires. You can ask us which safeguard applies to a particular supplier.

10. Your rights

Under UK data protection law you have the right to:

  • be told what data we hold about you and receive a copy of it (right of access);
  • have inaccurate data corrected (rectification);
  • have data deleted where there is no longer a lawful reason for us to keep it (erasure);
  • restrict or object to processing carried out on the basis of our legitimate interests;
  • receive data you gave us in a portable format (portability);
  • withdraw consent at any time, where consent is the basis we rely on — withdrawal does not affect processing already carried out.

To exercise any of these rights, email office@gttlogistik.com with the subject line "Data request". We will respond within one month. We may ask for information to confirm your identity before acting on a request. There is no charge for a request unless it is manifestly unfounded or excessive.

11. Cookies

This website uses only cookies that are strictly necessary for it to function and to keep it secure. These do not require your consent under the Privacy and Electronic Communications Regulations.

We do not use advertising cookies or third-party tracking. If we later add analytics or other non-essential cookies, we will ask for your consent through a cookie banner before they are set, and will update this section to list them. You can block or delete cookies through your browser settings, though parts of the site may then not work as intended.

12. Changes to this policy

We may update this policy to reflect changes in our services, our suppliers or the law. The version in force is the one published on this page, and the "last updated" date at the top shows when it changed. Where a change materially affects how we use data you have already given us, we will tell you directly.
